Position Overview
For over 30 years, the Allegheny Regional Asset District (RAD) has enhanced Allegheny County’s quality of life by supporting public libraries, parks and trails, cultural organizations, sports and civic facilities, public transit, and municipal services. RAD is seeking a Receptionist / Office Assistant responsible for independent clerical work, office maintenance, administrative tasks, meeting coordination, scheduling, and database management. This role requires meticulous attention to detail, effective multi-tasking, teamwork with RAD staff, board members, and the public, and is performed in person at the downtown Pittsburgh office.
Key Responsibilities
- Maintain daily office schedule and provide administrative support as needed.
- Answer calls and emails courteously, providing information or routing inquiries to the proper staff, and act as a resource regarding the phone system.
- Greet and direct visitors to the appropriate person or meeting room.
- Process and distribute mail and packages, and coordinate office shipments.
- Order and organize general supplies, ensuring stock levels are maintained.
- Organize and maintain files and databases accurately.
- Serve as liaison with building management and coordinate office cleaning.
- Keep public areas, including the kitchen, clean and orderly.
- Maintain office equipment (copier, postage machine, telephones) and assist with troubleshooting and staff training as needed.
- Assist staff with daily operational support.
- Coordinate and schedule meetings and events, including preparing, organizing, and disseminating meeting materials.
- Set up conference rooms and maintain room schedules.
- Attend staff, board, and public meetings as required.
Required Qualifications
- Demonstrated experience or knowledge relevant to the duties listed above.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with Adobe Acrobat is a plus.
- Ability to learn and use digital meeting platforms (such as OnBoardMeetings.com, Zoom, MS Teams).
- Competency in general database applications.
- Ability to produce business correspondence, including mail merge.
- Polished, professional attitude with excellent communication and organizational skills.
- Proven ability to multi-task, prioritize, work efficiently and meet tight deadlines.
- Capacity to work both independently and collaboratively.
Compensation & Benefits
- Salary:Full-time in-office position with a salary range beginning at$40Kannually (salary is negotiable for candidates with demonstrated experience).
