One of PEG’s financial clients is seeking a contractor to support the Executive Assistant with administrative responsibilities. The Administrative Assistant, Executive Operations provides day-to-day administrative and coordination support to the Executive Assistant to the CEO and Executive Management Team. This short-term contract role (2–3 months) supports the efficient operation of executive related activities by assisting with scheduling, logistics, documentation, and communications.
This position is fully onsite in St. Louis and requires availability during standard business hours. The ideal candidate is highly organized, detail-oriented, and comfortable working in a professional executive environment while maintaining confidentiality and attention to detail.
Key Responsibilities
- Provide administrative and logistical support to the Executive Assistant, including calendar coordination, meeting scheduling, travel arrangements, and expense processing
- Assist with coordinating executive meetings and events by preparing agendas and materials, reserving meeting spaces, ordering catering, and room setup
- Draft, format, and organize routine executive communications, correspondence, presentations, and reports for review by the Executive Assistant
- Maintain accurate records and filing systems for executive and board-related documentation, ensuring secure handling of sensitive and confidential information
- Support board and governance activities by assisting with document preparation, secure distribution of materials, and upkeep of the Diligent board portal under direction of the Executive Assistant
- Track action items, deadlines, and follow-ups from executive and EMT meetings and provide regular status updates
- Coordinate incoming calls, mail, and visitors for the executive office, ensuring a professional and welcoming experience
- Assist with special projects and ad hoc administrative tasks as assigned
Qualifications & Skills
- 2–4 years of experience in an administrative assistant, coordinator, or similar support role
- Strong organizational and time-management skills with excellent attention to detail
- Ability to handle confidential information with discretion and professionalism
- Strong written and verbal communication skills
- Proficiency in Microsoft Office and/or Google Workspace
- Experience supporting senior leaders or executive teams is a plus
