We are seeking a proactive and highly organized Trade Show & Event Specialist to plan, coordinate, and execute industry trade shows, conferences, customer events, and internal corporate experiences. This role is ideal for someone early in their events or marketing career who thrives in a fast-paced environment, enjoys hands-on execution, and is passionate about delivering high-impact brand experiences within the defense and technology sectors.
Key Responsibilities:
- Trade Show & Event Coordination – Assist with planning, logistics, and on-site execution of company participation in trade shows, expos, events and conferences; coordinate registration, booth shipping, product demos, graphics and audiovisual needs; manage event timelines and vendor coordination; support booth setup and teardown.
- Brand & Marketing Support – Ensure event materials and displays align with corporate brand guidelines; assist with pre-event and post-event marketing activities including email communications, social content, and lead-capture processes; collaborate with creative and product marketing teams to produce on-brand collateral.
- Administrative & Project Management – Prepare event briefs, manage schedules and travel logistics; track post-show metrics and prepare after-action reports; help manage budgets, expenses and invoices; maintain the master calendar and track inventory of booth assets and promotional materials; support internal meetings, VIP visits, and product demonstration days as needed.
- On-Site Event Execution – Serve as on-site support for events, including hosting customers, coordinating receptions and socials, facilitating demos, and troubleshooting logistical challenges in real-time.
Required Qualifications:
- Bachelor’s degree in Marketing, Communications, Event Management, Business, or a related field – or equivalent experience.
- 3+ years of experience in events, trade shows, marketing coordination, or similar roles (including internships).
- Strong project management and organizational skills with exceptional attention to detail.
- Ability to multitask and manage competing priorities under tight deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite; familiarity with project management and graphic design tools is a plus.
- Comfortable with hands-on, physical tasks such as booth setup and packing event materials.
- Ability to travel up to 25% for events and maintain an in-office presence of at least three days per week.
- Proactive, self-motivated, and a collaborative team player with a roll-up-the-sleeves work ethic.
- Highly organized, adaptable, and calm under pressure with strong problem-solving skills.
