Status:
Full-time, 40-hours per weekSchedule:
Monday-Friday, 7:00am-3:30pm/10:00am-6:30pm (must be flexible)Provides a variety of moderately complex medical office support, clerical, and secretarial functions for one or more medical, professional, or research staff.
Hiring Range: $20.941 - $31.852
Key Responsibilities
- Receives and screens telephone callers and visitors; responds to inquiries and forwards technical inquiries to the appropriate staff member while taking and forwarding messages.
- Schedules patients’ appointments and assists in coordinating appointments with other medical offices; manages physician(s)’ calendars including appointments, surgeries, and meetings.
- Transcribes dictation such as patient narratives, discharge summaries, general correspondence, and memoranda; prepares letters, requisitions, and reports from handwritten notes.
- Manages prescription requests by answering calls for new prescriptions and refills, submitting requests for authorization, and calling in prescriptions to pharmacies.
- Handles preliminary registration for new patients and updates information for existing patients; assists with pre-admission testing coordination when required.
- Enters physician charges into the billing system ensuring proper insurance coverage, and works with Patient Billing Services for referrals, authorizations, and operative reports.
- Establishes and maintains departmental files, records, logs, and charts; retrieves information as necessary.
- Manages incoming mail by receiving, date-stamping, reviewing, and directing it in accordance with departmental policy.
- Assists in preparing exam rooms between patients and may assist physicians during examinations or procedures.
- Maintains office supplies and may help manage the department’s medical supply inventory.
- Compiles and distributes procedure and on-call schedules, posting updates as needed.
Required Qualifications
- High School Diploma or GED required.
- May require up to 1 year of technical or specialized training in secretarial/medical office support (e.g., word processing, medical terminology, medical insurance/billing).
- 1 to 3 years of experience as a secretary, preferably in a doctor's office or medical environment.
- Demonstrated ability to read and write effectively with a good command of grammar and arithmetic including fractions and decimals.
- Familiarity with standard office/medical equipment (e.g., typewriter, computer, data terminal, printer, calculator, telephone, fax, copier, and medical devices) and basic report preparation.
