Key Responsibilities
- Assist in coordinating and organizing all types of events and catering activities within the hotel.
- Collaborate with the events and catering team to ensure all event details are accurately recorded and executed.
- Manage and maintain event calendars, including booking and confirming event details and availability.
- Communicate with clients and vendors to ensure all event needs and requirements are met.
- Provide exceptional customer service to clients and guests, responding to inquiries and requests in a timely and professional manner.
- Assist in creating and distributing event proposals and contracts.
- Maintain accurate and up-to-date event files and records.
- Monitor event budgets and expenses, ensuring they stay within budget and recommending cost-saving measures when necessary.
- Prepare and distribute event-related materials, such as menus, seating arrangements, and guest lists.
- Coordinate with other hotel departments to ensure seamless execution of events, including food and beverage, audio-visual, and housekeeping.
- Assist with on-site event coordination, including set-up, registration, and troubleshooting any issues that may arise.
- Keep up-to-date with industry trends and best practices in events and catering.
- Conduct post-event follow-up with clients to gather feedback and ensure satisfaction.
- Handle administrative tasks such as data entry, filing, and correspondence.
- Adhere to all hotel policies and procedures, ensuring a safe and welcoming environment for guests and colleagues alike.
