Under limited supervision, the Business Documentation Specialist is responsible for and participates in projects involving the research, analysis, development, implementation, communication, and maintenance of policies and procedures to meet the operational and regulatory requirements of the Company.
Job Type: Full-time
Pay: $65,000.00 - $80,000.00 per year
Work Location: Remote
Schedule: 8 hour shift, Day shift, Holidays
Experience Requirements: Mortgage: 2 years, Visio: 2 years, Flow charts: 2 years, Writing policy and procedure: 2 years
Physical Conditions: Standard office environment with partial sitting and walking throughout the day; occasional overtime may be required.
Key Responsibilities
- Develop policies, procedures, presentations, training materials, forms, bulletins, communications, and additional content in accordance with development standards.
- Design clear, concise, engaging, and accurate learning content.
- Evaluate existing content for updates and initiate projects based on organizational needs; complete internal and external audits and gather related content as required.
- Interview subject matter experts, observe work processes, and communicate with business leaders and team members to research and analyze information for documentation development or updates.
- Perform industry research and analyses, and write policy and procedure documentation in alignment with project goals, compliance, and legal requirements.
- Manage projects through all stages—including analysis, design, development, implementation, and evaluation—to ensure timely completion.
- Conduct and attend meetings and trainings associated with projects and job functions.
- Publish all content according to company standards.
- Support departmental initiatives and identify ways to enhance training effectiveness.
- Travel to onsite locations as needed to conduct policy and procedure analysis for documentation development purposes.
- Perform various other duties and projects as assigned.
Preferred Qualifications
- Bachelor’s Degree or equivalent training and writing experience.
- Minimum 2 years’ experience in the mortgage lending industry.
- Minimum 2 years’ experience writing/formulating policy and procedure documentation in the mortgage lending industry.
- Excellent operating knowledge of the mortgage lending and banking industry, including wholesale lending processes.
- Demonstrated experience in the development of policy, procedure, and forms documentation.
- Superior writing, editing, proofreading, and process mapping skills with familiarity in applying policy and procedure standards.
- Excellent written and verbal communication skills with the ability to interact effectively at all levels of the organization.
- Advanced proficiency in MS Word, Excel, PowerPoint, Outlook, and other relevant software applications such as Visio and Adobe Acrobat Pro.
- Ability to manage multiple tasks, prioritize projects, and meet critical deadlines while maintaining high quality.
- Strong analytical and problem-solving skills with a collaborative approach to exploring alternative solutions.
- Effective decision-making skills, sound judgment, and strong technical aptitude.
- Exceptional organizational skills and attention to detail.
- Proven ability to manage projects with urgency and adapt to changing priorities.
