Position Overview
The Operations & Executive Assistant will provide comprehensive administrative and operational support to the executive team and day-to-day business functions. This dynamic role involves a blend of executive assistance, office coordination, and project support. The ideal candidate will be organized, resourceful, proactive, and capable of managing multiple priorities in a fast-paced environment. Job Type: Full-time. Work Location: In person.

Key Responsibilities
- Executive Support:
- Manage executive calendars, coordinate meetings, and schedule travel arrangements.
- Draft, review, and manage internal and external communications on behalf of executives.
- Prepare presentations, reports, agendas, and meeting materials.
- Track action items and follow up on project deliverables.
- Operations & Office Management:
- Maintain office supplies, vendor relationships, and facility needs.
- Serve as a point of contact for IT, facilities, and service providers.
- Coordinate team events, company meetings, and onboarding logistics.
- Organize digital and physical filing systems for ease of access and compliance.
- Administrative Support:
- Assist with invoice processing, reimbursements, and purchasing workflows.
- Maintain accurate records, databases, and documentation.
- Support HR, Finance, and other departments with administrative tasks as needed.
- Ensure confidentiality and discretion with sensitive company and personnel information.
Required Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field.
- 2–4 years of experience in an administrative, operations, or executive support role (experience in a start-up or biotech/tech environment is a plus).
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- High proficiency with Microsoft Office Suite, Google Workspace, and calendar/email systems.
- Ability to anticipate needs and proactively solve problems.
- Comfortable working independently and collaboratively across teams.
Preferred Qualifications
- Experience supporting C-level executives.
- Familiarity with project management tools (e.g., Asana, Trello, Monday.com).
- Exposure to HR, legal, or finance processes in a startup or growth company.
