Job Description
Position Overview
Provide administrative services for upper level management and executive assistant. This remote position requires proficiency in Zoom.
Key Responsibilities
- Training staff and customers online
- Creating training and administrative documents for distribution
- Answering, screening, and transferring inbound phone calls
- Receiving and directing visitors and clients
- Performing general clerical duties on computer workstations
- Photocopying, faxing, and mailing documents
- Maintaining electronic and hard copy filing systems
- Hiring national sales representatives and other staff
- Setting up, training, and traveling to company seminars
- Retrieving documents from the filing system
- Handling requests for information and data
- Resolving administrative problems and inquiries
- Preparing written responses to routine enquiries
- Preparing and modifying office documents
- Creating correspondence reports, drafts, memos, and emails
- Scheduling and coordinating meetings and appointments
- Creating travel arrangements for managers or supervisors
- Preparing agendas for meetings and schedules
- Recording, compiling, transcribing, and distributing meeting minutes
- Opening, sorting, and distributing incoming correspondence
- Maintaining office supply inventories
- Coordinating maintenance of office equipment
- Coordinating and maintaining records for staff, telephones, parking, and petty cash
YOUR COMPENSATION
- Starting Salary: $32K Annually plus seasonal incentives
- Salary: Negotiable to level of experience
- Remote Administrative Assistants: Compensation based on skills
- Target Earnings: Upwards of $55K plus seasonal incentives
- Eligible for a tablet and company phone after 90 days

Required Qualifications
- High school degree minimum
- 2-5 years experience as an administrative assistant with references
- 1-3 years experience as a remote administrative assistant with references
- Proficient in computer skills and relevant software (Word, Pages, PowerPoint, Keynote, Excel, Numbers)
- Knowledge of standard office equipment operation (scanners, printers, projectors)
- Understanding of clerical and administrative procedures including filing and record keeping
- Familiarity with principles and practices of basic office management
- Experience with Zoom and Zoom Breakout Rooms
- Ability to create training videos for YouTube uploads
- Strong written and verbal communication skills
- Excellent planning, organizing, and prioritizing abilities
- Good problem assessment and solving skills
- Skilled in information gathering and monitoring
- Attention to detail and accuracy
- Flexibility and adaptability
- Customer service orientation and ability to work well in a team
