Job Description
Position Overview
The Administrative Assistant at the Leander Activity Center (LAC) is responsible for providing exceptional customer service to visitors, callers, and employees. This role involves managing the front desk operations, handling clerical tasks, and assisting with various departmental functions. It requires routine skills and operates under moderate supervision, with opportunities for initiative and independent judgment.
Key Responsibilities
- Manage LAC Front Desk operations, including handling phones, filing, and scheduling activities.
- Interact daily with the public, offering information and assistance regarding facility rentals, events, program registration, and facility locations.
- Oversee the Department’s facility reservation and rental program, managing applications, payments, and rental schedules.
- Assist Parks and Recreation staff with various departmental tasks.
- Perform routine clerical duties, including answering phones, data entry, and office supply management.
- Handle incoming and outgoing mail and correspondence.
- Draft and edit letters, reports, and other materials.
- Input data into office and departmental forms, maintain inventories, and order supplies.
- Enter LAC employee timesheets into Incode (payroll system) and print report for the Director to approve.
- Assist with the Parks & Rec facility reservation and rental program.
- Support the Department’s online registration program.
- Create and distribute promotional materials as needed.
- Occasionally supervise part-time, seasonal, or intern personnel.
- Operate vehicles for errands as required.
- Maintain cleanliness and professionalism in the office environment.
- Assist in setting up activities, involving lifting between 20-50 pounds when moving tables, chairs, and equipment.
- Participate in special projects and special events.
- Perform other related duties as assigned.
Required Qualifications
- High School diploma or equivalent.
- Two years of increasingly responsible experience related to Administration and/or Parks & Recreation.
- Texas Driver's License or ability to obtain a Texas driver's license within 90 days per state law.
- First Aid and CPR/AED certification required or the ability to obtain it within six months of hire.
Preferred Qualifications
- Bachelor's degree from an accredited college or university in a related field to Administration and/or Parks and Recreation.
- Specialized course work in accounting or financial procedures.
